Finance Administrator

About the Finance Administrator role

Stemettes is at a very exciting point in its development and seeking a finance administrator to support financial operations and administrative processes with donors & funders as our activity increases. The role will provide end-to-end administrative support for the financial processes and provide a crucial link between the organisation, including Trustees and the outsourced finance team. In this role, you will report to our Accounts Lead.

This is a full-time hybrid role located in the UK with the expectation to travel around the UK – a minimum of twice a month.

 

Key Responsibilities

Raising, logging and tracking of Purchase Order Numbers Provide costs and other financial information for bidsWork with the COO, the Hub Leads and the Fundraiser to ensure a smooth transition of new contracts from Fundraising to Delivery
Coding of Purchase Invoices Maintain the pipeline and associated income forecastSupport COO and Fundraising team to provide financial and non-financial reporting to Funders.
Requesting sales invoices to be raised in line with funding contracts Provide general admin support.
Changes to payroll and pensionMonthly forecast generation.
Debt collection where required
Regular dialogue with Hub Leads to ensure that purchasing runs smoothly and doesn’t hinder operational delivery
Work with Hub Leads to update forecasts on a monthly basis and explain variances
Monitoring to ensure that colleagues and the organisation as a whole adhere to the Financial Policy Manual and, in particular, the Expenses and Expenditure Policy.

Person Specification

  • Prior experience of working administratively within finance functions.
  • A positive, self-starter with a can-do and will-do attitude.
  • An attention to detail and an ability to draw information from all sides and spot inconsistencies.
  • An ability to manage multiple tasks and see things through to a conclusion whilst having a calm and collected manner in a busy and sometimes frenetic environment.
  • A team player but one who can work alone (as we are a remote organisation).
  • An ability to communicate with stakeholders at all levels and be passionate about diversity and inclusion.
  • A high level of discretion as you will have sight of sensitive information.
  • Have an appreciation for the importance of STEM & STEAM.
