Operations Manager

About the Operations Manager role

The Operations Manager will oversee and optimise the organisation’s internal processes and workflows to ensure alignment with our mission and strategic goals. You’ll work primarily with the team and trustees to ensure processes and documentation are maintained, governance rhythms are ensured and HR & Finance work gets delivered each month.

You’ll be responsible for smooth workflow and process documentation, planning all-company meetings, compiling quarterly and monthly KPI reporting, supporting the Trustee Board and assisting with finance control processes. You will live in the details—leveraging members of an engaged team to ensure a high standard of operations which are well documented.

This is a highly collaborative role for an experienced hand who is able to work with high levels of accountability. You’ll thrive if you enjoy working autonomously and collaboratively, are detail-oriented, and are passionate about making a difference in young people’s lives.

This is a fixed-term 12-month contract hybrid role, available for 3 or 4 days a week pro-rata located in the UK with the expectation to travel around the UK – a minimum of twice a month.

You will report into the COO and have no direct reports.

Key Responsibilities

 

 

Processes and Workflows

Implement and streamline internal processes, manage process documentation for various workflows, and lead the rollout and continuous improvement of the organisation's Intranet.

Includes Data Strategy and Stock checks assurance

Company Cohesion

Plan and manage internal ‘Company Connect’ meetings, including travel bookings, agenda setting, and feedback collection.

Support Wellbeing initiatives and enhance collaboration across team Hubs.

Strategic Reporting

Maintain and update Executive and Quarterly Strategic KPI Dashboards; prepare Board-level reports, act as Secretariat for subcommittees, and support policy reviews and meetings.

Includes drafting Board Look Ahead, Policy reviews and connection to our Youth Board.

HR & Finance

Oversee HR systems and processes, including performance reviews, and assist with financial control processes.

Review and share financial reports with internal stakeholders, as well as supervising cost control processes.

Support in scheduling of HR meetings and maintenance of HR records.

Wider Event Support

All staff support the delivery of all events and programmes to ensure we directly support the overall mission of the organisation.

Person Specification

  • Ability to work in a way that promotes the safety and wellbeing of children and young people
  • Have years of experience running Operations for a charitable, non profit or social enterprise organisation
  • Be an excellent communicator with the ability to influence and work with a diversity of team members
  • Be passionate about STEAM education, diversity, and inclusion.
  • Work collaboratively with other teams and communicate effectively across the organisation.
  • Be highly organised and comfortable solving complex problems.
  • Enjoy learning new tools and using technology to enhance your work.
  • Be solutions-oriented and maintain a calm, positive attitude under pressure.
  • Flexibility to travel and work outside of regular office hours, as needed.
  • Be able to give and receive constructive feedback.
  • Desirable: Experience using Google Workspace and Airtable.

You’d be working within a fully hybrid organisation located across the UK including freelancers and admins who ensure the smooth running of Stemettes interventions and outreach work.

Pay will be reduced by 8% during the probation period. Your pension will start when you have passed probation. We have a pass, fail, extend to 6 months probation rule.
